Wolffer Estate Vineyard is seeking a talented and dedicated Events Assistant to support our Events Department in planning, executing, and facilitating exceptional events. We have Wolffer housing available for rent!

About the Role:

As an Events Assistant, you will work closely with the Director of Events to ensure the seamless execution of all events at our beautiful estate. Your responsibilities will include managing event inquiries, coordinating logistics, and maintaining event materials. You will play a key role in creating unforgettable experiences for our clients, adhering to our brand guidelines, and collaborating with both internal teams and external vendors.

Key Responsibilities:

• Collaborate with the Event Director to execute events smoothly.
• Ensure adherence to brand guidelines for each event.
• Manage the event calendar using Tripleseat software.
• Create event timelines, menus, and vendor checklists.
• Secure proper permits and maintain event budgets.
• Coordinate music, security, valet, and other event logistics.
• Maintain inventory of event materials and communicate with internal teams.
• Respond to event inquiries professionally and promptly.
• Create post-event recaps and update event sales materials.
• Assist with philanthropic and off-site initiatives.
• Maintain databases of event clients and preferred vendors.
• Promote events in collaboration with the Marketing Department.

Qualifications:

• Minimum of 3 years’ experience in hospitality or an administrative role.
• Bachelor’s Degree preferred.
• Flexible schedule with availability to work weekends as needed.
• Excellent communication and organizational skills.
• Proficiency in Tripleseat, AllSeated, and Microsoft Office.
