A Billion-Dollar Private Equity Firm located gorgeous new offices in Downtown Manhattan is seeking two Full-Time/Permanent Executive Assistants to support two separate executive teams, with primary support for 1 C-level Executive/Partner and additional ad hoc support (expenses, some travel, etc.) for 3-4 other team members. The position is open as the current EA is relocating to California and they are splitting her position into two separate roles. Candidates must have a minimum of 3-5+ years of applicable high-level EA support experience (open to industry/backgrounds!) and a Bachelor’s degree is required. They should be extremely polished and professional, detail-oriented, extremely personable, positive, team-oriented, organized, “on it,” accustomed to working in a fast-paced environment, and possess excellent interpersonal and communication skills. - Salary depends on experience (90-110k base), plus generous discretionary bonus eligibility, 100% company paid medical/dental/vision, 401k match, free lunch, 3 weeks’ vacation, etc.
- Hours are 9:00am-6:00pm, with flexibility. 5 days/week in office.
Responsibilities:- Provide high-level primary executive administrative support to 1 C-level Executive/Partner and additional/ad hoc support for 3-4 other team members.
- Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; manage and maintain busy and ever-changing calendars.
- Prepare meeting materials, including presentations, agendas, and any other required documents for distribution in advance.
- Communicate with both internal and external constituents at times on Executive’s behalf.
- Coordinate complex domestic and international travel arrangements and detailed itineraries for Executives, including flights, hotel accommodations, car rentals/car services/ground transportation, etc.
- Provide general administrative support, including creating, maintaining, and editing documents, spreadsheets, and presentations.
- Prepare, process, and submit expense reports in compliance with the firm’s Travel Policy.
- Answer all phone calls in a professional manner, take messages, and/or assist directly when appropriate.
- Maintain a professional rapport with staff, co-workers, and guests.
- Routinely collaborate with other admin team members and assist with special/ad hoc projects as necessary in a mutually supportive manner.
Requirements/Qualifications:- Minimum 3-5+ years of applicable experience, ideally supporting C-level executives.
- Bachelor’s degree required.
- Strong Microsoft Office Suite skills
- Excellent verbal and written communication skills with great accuracy and attention to detail.
- Verification of identity, education, prior employment, and references required.
- Exceptional writing, editing, grammatical, organizational, and research skills.
- A high degree of professionalism, with deep understanding that the role is an extension of the Executive(s).
- Excellent time management, organizational, and interpersonal skills.
- Resourceful, well-organized, highly dependable, efficient, and detail oriented.
- Assertive in execution of responsibilities.
- Ability to multi-task while prioritizing workload.
- Proactive and takes initiative; able to see around corners.
- Possess a team focused attitude with a demonstrated ability to work collaboratively with others.
- Hands-on problem solver and team player.
- Must be able to handle confidential information with the appropriate level of discretion.
